System of Systems Building Project: Data Work group meeting 3/22/13

The Data group meeting of System of Systems building project was held on 3/22/13 between 10:00am to 11:30pm. This meeting was attended by 18 participants. The meeting started with updates which included:

Tasks accomplished, in process and about to begin: Reports (in PCAPS): Attendance and Utilization reports: As per PCAPS IT staff at PHMC the Attendance report will be available soon after it goes through internal testing and after that the Utilization report will be made available as well. Free Library of Philadelphia (FLP): The library staff has started entering data into PCAPS for the Frankford Branch. Assessment/Evaluation Data Sharing Contract with School District of Philadelphia(SDP): The group was informed of the recently signed Data Sharing and Assessment agreement signed with School District. The Scope of Work (SOW) under this agreement was briefly looked at and would allow for the Districts Office of Research and Evaluation (ORE) to compile a report of de-identified aggregate data that would attempt to shed light on the impact of OST programming on youth as compared to youth with similar characteristics but not part of any OST program(s). The group members acknowledged the work and effort to bring this finally to fruition.

Sub Work Groups:


The group members who are part of the sub-work groups briefly informed the rest of the group members the work that has started in those groups. The detailed notes from each of the sub work groups (Data Governance, Systems and Data standards and Partner Integration Sub workgroup) are posted on the Projects website. We also talked about ways members of this group especially Partner Integration group can stay informed of what is happening in other work groups namely Outcomes and Assessments Work Group and Coordination work group. We also talked about the protocols for posting the minutes from our groups meetings and group members (in attendance) agreed to have the names in attendance be posted but any comments will be kept anonymous.

RFIQ and RFP related:


Briefly went over and discussed the following points: We received a good mixture of responses from both local and national level vendors. We had an internal review committee (drawn out from this group) that assisted with reviewing the RFIQs and helped us frame the follow-up questions. RFIQ helped further shape the creation of RFP. RFP is ready but we are waiting for the final green light before we can formally issue it. Some of the review committee members for RFP evaluation will be drawn out from this group.

Burning questions:
We left the floor open for any questions and some of the questions asked and comments made included: The expected timeline for the SDP assessment report. Branding for the Systems building project.
