Abstract

Muslim Kristian Vendors Association Incorporated is a micro lending and microfinance association for small business. The organization aims to help people start a small business and increase to bigger assets. Applicants of the association much provide the requirements for them to become a member. The association organizes the small vendors and other sub-sectors of urban poor and educates them about their situation towards addressing the issues and problems directly and indirectly affecting them. Enhancing, capacitating and empowering the small vendors and other subsectors of urban poor enable them to participate in the community development. This is to promote the total well being of MUKRISVA members and to contribute to the economic growth of their community. MUKRISVA is currently using a manual operation. The association posts a weekly announcement for the weekly meeting, making invitations to each member, club activity, receiving comments, suggestion and question within the meeting and compiling hard copy of records and documents. These transactions make the club unorganized and time consuming. Nowadays, technology is evolving and improving. The researchers proposed the Online Loan Application and Information System for Muslim Kristian Vendors Association Inc., which will help to improve the efficiency and effectiveness in information dissemination. The fast accessibility of documents and time management is due to improve the transactions and getting work lessen.

Preface

The main problem of the proposed system is how to improve the transaction of the current system of Muslim Kristian Vendors Association Inc. in providing inquiries and promoting the organization through online dissemination at accessible, reliable, precise and important information. The significance of the proposed system is to provide inquiry regarding the association and other information that may be needed by the members without consuming much time and effort. The purpose of the proposed system is for the association to be recognized and helped in terms of promoting the association to increase their population in the years to come. And also it will give benefits to the association management. This will help them lessen their tasks in advertising and announcing events about their meetings or assembly, new applicants and to help them encourage applicant to become a member. The overall structure of the project documentation is based on the gathered information by the proponents during client communication with the help of Nasser Kusain, operational field manager of MUKRISVA Inc. and staff, about it information on micro lending, activities, mission, vision, goals and objectives.

Chapter 1. INTRODUCTION The computer is considered as the most important invention of the twentieth century. Computer touches every part of our lives because of its rapid decreasing cost of processor. The invention of computer machines has brought about the massive demands of the businessmen in any business institutions to computerize the recording and management of data and information pertinent to client and the institution.

As a result, the researchers proposed the Online Information System which refers to the interaction between people, algorithmic process, data and technology. A work system includes capturing, transmitting, storing, retrieving, manipulating and displaying information.

The Online Loan Application and Information System of Muslim Kristian Vendors Association Inc. is an Online Company Information System that allows users to access information of the system through web anytime and anywhere.

The World Wide Web or simply Web is a way of accessing information over the medium of the internet. It is an information-sharing model that is built on top of the Internet. The Web HTTP protocol is one of the languages spoken over the Internet, to transmit data. Web services use HTTP to allow applications to communicate in order to exchange business logic, use the Web to share information. The Web documents called Web pages that are linked to each other via hyperlinks. The documents are formatted in a markup language called HTML (Hypertext Markup Language) that supports links to other documents, as well as graphics, audio, and video files and text files.

The Muslim Kristian Vendors Association Inc. (MUSKRIVA) is located at Door 3 (016C) E&H Complex Quezon Avenue Cotabato City. It is a non-stock non-profit organization owned and managed by Mokamad Q. Kusain and was registered to the Securities and Exchange Commission and to the Bureau of Internal Revenue. It was established on October 13, 2003 which the major project is micro lending for vendors in - house and in- market and establishment. It has a member of 15 persons before, now extended to 700 plus. It composed of four operational employees and a manager. Their starting loan is from one to five thousand then extended five to ten thousand within six months. When the client cant pay to the exact due date there will be a penalty of 15%. The members of the association can avail also a loan in the organization. Their office is open from 8 oclock in the morning up to 5 oclock in the afternoon. The association started when a foreign donor contributed an amount just to start the small time business

industry. The funding of the loan is fast growing and now they use it for the applicant to loan.

To envision a society where the people in Cotabato City and its adjacent province and municipality living peacefully; strive for mutual trust and respect and in harmony with the environment is the mission of the organization.

The mission is to organize the small vendors and other sub-sectors of urban poor and educate them about their situation towards addressing the issues and problems directly and indirectly affecting them. Enhancing, capacitating and empowering the small vendors and other sub-sectors of urban poor enable them to participate in the community development. Promote the total well being of MUKRISVA members and contribute to the economic growth of their community.

The goals of this organization are to enhance or strengthen Microfinance Services as core program of MUKRISVA for its members. To liberate members from the oppressive rates charged by moneylenders and to contribute to the economic growth and peace building efforts in the community. To mainstream the human rights, gender fair and development perspective of the various stakeholders.

The objectives are to instill social values and enhance entrepreneurial capacity of the organization, leaders and members. To sustain the livelihood and business enterprises of members. To strengthen cooperative relations among network organizations for the socio economic development of the community. To develop the capacity of MUKRISVA to document, monitor and evaluate its activities and to establish its database and indicators of growth and sustainability that are human rights based and gender fair.

1.1 Statement of the Problem 1.1.1 General Problem

The general problem of the proposed system is how to create an online loan application and information system of MUKRISVA that is accessible anywhere and anytime by anyone through the use internet. The researchers found out several problems in the current information dissemination of the organization.

Specific Problem

o Application and registration of members is time consuming.

In the current system the registration and application of the member is done manually. The process of the file in each applicant is time consuming due to their current transaction.

o Payments for the membership and loans are time consuming. In the current system, any payments or fees for membership are collected by the placement officer. Thus, it is hard for the members because they have to go to the office to pay their loan. The statement of account of the members are written manually and kept the records in the company files only in the cabinet.

Loans transaction of the association such as loan request, renewal and approval are inconvenient. In the current system, any loans transaction by the member is done manually. The applicant will wait a long time before their request of loans be granted by the association and the processing consumes a lot of time before it will be approved.

o Monitoring the performance of the members in payment and co-maker is insufficient. The current system recorded the members late payment and an applicant recommended by the members. The dissemination of the information is beyond the restriction of the management only. The updating and organizing of the files takes a lot of work to be done in the current system.

Posting of information is time consuming.

In current system only members and some personnel know what really MUKRISVA is all about. The information is only posted in the office bulletin and the dissemination of the information spread out only inside the office and the members of the association.

Information and data security are not strictly implemented. Since the current system uses manual transaction, there is no assurance for the safety of their files. They used cabinet for archiving inactive members record and as well as the organization document which is time consuming to process.

Time consuming in archiving the records of the association. The current system compiles and kept their reports in a folder and through a cabinet and it takes a lot of time to search a wanted file of the association.

o Generation of reports for monthly and yearly reports. The assign employees conduct a meeting and consultation on applicant and they train the new applicant on how to improve their business. In this operation, the coordinator submits monthly and yearly reports for the success of their survey. They also report the transaction of payment and overdue.
o

Backup and recovery of files and records. The present set-up provides a manual back-up of files. The present practice is simply a collection of stored and filed copies in folder and logbooks. With planned online information system, there is no need to encode again records and documents because it is automatically arranged and easily back up.

1.2 Overview of the Current State of the Technology

The organizations current system is based on the sequence of current application of the new member and the client who avail for loan. The organization has requirements to become a member. For the new loan application, it requires the recommendation from active member (qualified) the following: latest cedula (Xerox copy), Barangay clearance, recent 2x2 ID picture, business permit (option), pay slip employee/payroll and interview (survey). The new applicant must provide all the necessary requirements and 50 pesos for fee registration. There is a form for new members to fill-out necessary information. To become a member, there is a form for loan application. When the client cant pay the amount borrowed on the due date, there is a 15% penalty.

Some gathered information about the components of these fields.

The organization conducts an orientation to new applicant to orient the rules and regulation of the association and find out what is the organization all about.

The personnel- in- charge gives the copy of the requirements on the applicant on how to become a member of the association and let them know that this requirement must produce in order to become a member.

In the current system, they conduct interview to those applicant who are interested and survey the existing business so that the operational officer can cite on how to help the applicant improve their business.

After conducting a survey to the applicant the association will have the process of the said credit investigation which verify and attain a borrowers identity, personal background, and financial capability and credit history. These serves as the security of both the creditor and debtor from credit identity theft and other fraudulent credit actions.

The current system will report and submit all the data and information about the applicant to the board of trustees for one week for its approval of the Body of Disbursing Officer (BDO) to acquire the loan in the association to start and improve the business they wish.

When the Body of Disbursing Officer (BDO) approves the information and requirement of the applicant, the applicant can loan an amount which is two to three thousand for the first loan.

A weekly amortization schedule for newly loan, in the flow of payment they have three package but the association used the first package which is one to two months, 4% for the interest, 6% for the saving in the association which the total of 10%.

1.3 Objectives 1.3.1 General Objective The main objective of the proposed system is to develop a system that will improve the manual transaction of the current system of the Muslim Kristian Vendors Association in a convenient and more relevant. 1.3.2 Specific Objective The proposed study aims to accomplish the following: o To create a module that will accept account and registration form for the members. o To create a module for online payments for membership and loans.

1.3.3 Scope and Limitation The scope of the research study will directly involve the specific transaction of MUSKRIVA Inc. particularly in micro-lending program. It focuses primarily on monitoring, recording, and preparing the business operation report. This study covers the following:

o A module that will accept account and registration form for the members.

The proposed system will have an account to register the members in this way the flow of transaction accurate and fast. The member also can access the information of the association.

A module for online payments for membership and the loans.

The proposed system will provide a module for online payments of membership and loans for the client to pay thru online without wasting their time to visit the office.

A module for online statement of account for the members.

The proposed system will provide a module for online statement account of the member to inform them the statement paid amount and the balance left off to their loan amount.

The proposed system will provide module that will facilitate the maintenance of payment as well as the mode of payment of the member also update in the system.

The proposed system will provide a module that tracks all the members who recommended the employees in the association for a loan.

The proposed system can update the files and improvement of the association and can organize easily and more convenient accurate data of new applicants as well as the members. The proposed system will be helpful to the marketing personnel in generating the reports stored in the system. The system will be able to generate progress report in order for the management and the client will have access for the improvement. o To provide a module for archiving.

The proposed system will provide a module for public records that store in the system and open to the user.

To provide a module for backup and restore.

The proposed system will provide a module for backup the file and restore it in case of lost of files and restore it again.

1.4 Project Rationale The institution, employees, as well as the applicants, members and the future researchers are the beneficiaries of the study. Particularly the MUKRISVA will reap so much benefit for fast, accurate and reliable documents, reports and other information they need in their day to day activities. The association gathered data and give a comment on any subject matter being considered by the association and in turn the association will have a fast and immediate feedback for their proper guidance to come up with better and quality association which will redound to the benefit of the Cotabato City. This study is to improve the transaction of the current system that will eliminate the difficulties in registration, records of the client and information of the company, provide assurance on the security of the records and make faster the flow of the transactions of the said association. The client can access easily to the organization for some queries about the latest news of the association. The analysis of the

information gathered based on the proposed study will tackle all the information and transactions of MUKRISVA INC.

1.5 Methodology

The researchers decided to use the Spiral Model Paradigm, since the model is best suited to the system development of the research study without complicating the procedures, which involves the preparation of the existing online information of the Muslim Kristian Vendors Association Inc. The Spiral Model Paradigm requires six stages to complete, and these are as follows; Customer, Communication, Planning Stage, Risk Analysis, Engineering Stage, Construction and Release, and the Customers Evaluation. The researchers decided to use Spiral Model Paradigm due to its flexibility in terms of providing more room to scheme and correct errors during and after the system development. Moreover, such model will make it easier for the researchers as

developers of the system to further identify possible occurrences of problems, especially during the parallel testing of the proposed system. Customers Communication Stage At this stage, the researchers have continuously provided the intended users the opportunity to re-assess all the things that have been agreed upon. This is important because all existing requirements like the data and information concerning the existing format of the online information are incorporated in the overall design of the proposed system. After each re-assessment, the intended users all document all the possible modification, which is necessary for the proposed system to meet all minimum requirements of the existing format of the online information. The constant exchange of information or feedback between the developers and intended users have created a venue to discuss further the general idea of providing automation as a method to improve the existing format of the online information. _____________________________________________________________________

The Planning Stage After identifying the subject of the research study, the researchers prepared a transmittal letter that would be signed by the Manager and the Thesis Coordinator. The purpose of the letter is to seek permission for conducting a research study and in order for the researchers to conduct an interview to the respondents. The researchers also included the provision of the following problems to be solved:
Adding of new information in the current system of MUKRISVA is not

organized.
Updating of information in the current system of MUKRISVA is not

organized.

Keeping of files and necessary information are prone to be lost.

In the current system, the public especially the people outside the City find hard time gathering information regarding the MUKRISVA profile.

The researchers started gathering data and information regarding the subject of the research study so as to find solution to their problems. The procedures that were used for data gathering are as follows; Interview with the in- charge personnel and fill out a sample form. The information derived from such data gathering procedures provides the researchers the idea of Online Information System to improve the delivery and format of the existing system of MUSKRIVA INC.

Risk Analysis The researchers identified the possible risk and its avoidance so that it will not complicate the system development. Such risk involves the maintenance and upgrading of the software itself, which will require the technical expertise of a consultant knowledgeable in the maintenance and upgrading of the software. The training procedures of the personnel who will be the intended users of the system are also considered as risk, since the manual for the training will have to develop for easy transition without the possibility of misusing the system.

The avoidance of such risk will largely depend on the ability of the researchers to anticipate its occurrences by formulating contingency plans such as seeking the experts opinions on how to upgrade the software, the availability of the hardware, and lastly the training manual for the personnel as the intended users of the system.

Engineering Stage The engineering stage involves the decision of the researchers on what programming language to be used for the coding of the proposed system, and exactly when to code the program and what software to be used in designing the Graphical User Interface. The researchers decided to use PHP as the programming language, while the designing software being used is the Adobe Dreamweaver CS3,XAMPP Control Panel and Navicat for MYSQL, and the hardware requirements will commensurate to the requirements for the existing format of the Online Information,

Construction and Release The actual hands-on or the coding of the system is considered as the most crucial part of the research study because this is where all data information gathered during the early stages of the study. This is to prove whether it is sufficient or not, otherwise if the occurrences of problem happened during the early stages of the system development, then the researchers must immediately solve the problem by reviewing all the details in the planning stage. Customer Evaluation

The last of the Spiral Model will involve the things agreed upon between the developers and intended users of the proposed system. As such, the things agreed upon are the following:

Requirements of the existing format of the association profile to be

included in the proposed system. o The frequency or schedule to be implemented upon using the

proposed system. o The schedule for training of the personnel as the intended users of

the system. o o The actual testing of the proposed system. The possible contingency plans to address the occurrences of

problems concerning the proposed system.

Chapter 2. THEORITICAL FRAMEWORK In the recent workplace, it is necessary that the technology works both efficiently and consistently. A computer and information system plays a vital role in the implementation of technology within the organizations. They do everything

from helping to construct a business plan to overseeing network security to directing Internet operations. The proposed system was revised with minor revisions, it is tested with errors. The development of the proposed system is concerned with hardware & software on how to disseminate information, provide online information for the club. The programming and the development of the said system was broadly discussed and explained in the objectives, scope and limited to software and data consideration. 2.1 Introduction The proposed system was enhanced, expanded and developed by using different theories such as: Web Application, DBMS (Database Management System) and GUI (Graphic User Interface), Internet, Client-Server Network. These theories are applied in order to respond to the request of the clients to allow the user (Administrator) to create, save, edit and maintain and also control access to database. The following theories that help design the proposed system: 2.2 Web Application The system uses website in order to provide online based connection, to have network accessible information of the system. We use the main protocol which is Hypertext Markup Language to provide and to describe appearance of the information as a text on screen to create links and references in the form of hypertext.

The term may also mean a computer software application that is hosted in a browser-controlled environment or coded in a browser-supported language (such as JavaScript, combined with a browser-rendered markup language like HTML) and reliant on a common web browser to render the application executable. This system could process insert, update & delete information, to put all information in a database. Sets of programs that control the creation, maintenance, and the use of a database. It allows organizations to place control of database development in the hands of database (DBAs) and other specialists. It provides facilities for controlling data, enforcing data integrity, managing concurrency, and restoring the database from backups. We provide icons such as home, news, activities, calendar, archives & etc. for the system that allows user to click and drag objects with a mouse instead of entering text at command line, to have a userfriendly interface.

2.5 Client-Server Network Computing or networking is a distributed application architecture that partitions task or word loads between service providers (servers) and service

requesters, called clients. Often clients and servers operate over a computer networks on separate hardware. A server machine is a high-performance host that is running one or more server programs which share its resource with clients. A client does not share any of its resources, but request a servers content or service function. Clients therefore initiate communication sessions with servers which await (listen to) incoming request. 2.7 Spiral model

Is a software development process combining which elements of both design and prototyping-in-stages, in an effort to combine advantages of top concepts. Spiral lifecycle model (or spiral development) is a systems development method (SDM) used in information (IT). This model of development combines the features of the prototyping model and the waterfall model. The spiral model is intended for large, expensive and complicated projects. 2.7 Summary The proposed system is to help enhance the current system in promoting the MUKRISVA. This also enhances the level of inquiry especially in the field of micro lending status, increase the speed of finishing tasks and will give the user a convenient use of the system. The theories are must applied in the proposed system; these theories are the materials to develop the system to work properly. Without those theories as a guide, the researchers will have problem in finishing the system. Thus, these theories will be the primary key in accomplishing the proposed system, a system that is reliable, and accurate.

Chapter 3. ONLINE LOAN APPLICATION AND INFORMATION SYSTEM FOR MUSLIM KRISTIAN VENDORS ASSOCIATION INC.

3.1 Introduction Online Loan Application and Information System will help the MUKRISVA in disseminating information to its members and other applicants. This will make their transaction more relevant with the help of the web, transferring data from one place to another in just an easy way. It envisions a society where the people in Cotabato City and its adjacent province and municipality live peacefully and strive for mutual trust and respect and harmony with the environment. To strengthen the Micro-finance program to liberate members from the oppressive rates charged by moneylenders and to contribute to the economic growth and peace building efforts in the community. The Online Loan Application and Information System is capable of determining the person in the association in need, since it has a part of registering to become a member. The system is not just for the members but it is also for others who have queries and curiosity on what the association is all about. The system will provide a module that will post all the information of the association for everyone. The proposed system will use a Web Application through Local Area Network (LAN) Set-up.

3.2 System Design Specification The proposed Online Loan Application and Information System for Muslim Kristian Vendors Association Incorporated will help its mandated vision. Careful analysis of the system is necessary for the transition from the current system to the proposed online system to meet the needs and expectation of the organization for an easy validation and attainment of maximum efficiency. It includes specific operations that are prepared manually, such as adding, filing, recording, retrieving, generating reports, tracking and other function. The proposed system is done in Microsoft Dreamweaver 8 environment where we use the Personal Home Page Language plus the HTML. 3.2.1 System Function The creation of the proposed system design is break down for the different expected output as specified in the objectives of this, such as

Accept account and registration form for the members.

The system will accept member registration by filling out a form online or download the form and generate a username and password for each member. Individuals who are willing to become a member can join and may sign up but will be informed and be approved only by the system administrator.

o Accept online payments from the members. The system will accept payments online which is very convenient on the part of the members who are not able to pay personally if they are lack of time to visit the office or out of town. _____________________________________________________________________

The system will automatic update the background of the members in payment either good or bad records. The monitoring will more relevant and accurate.

o A module for maintenance of payment of the applicant.

The system will improve the mode of payment of members and also the maintenance of the percentage of every loan and late payments.

o A module that will track the member that recommended by the employees.

The system will show all the members who recommended by the co-maker to avail for loan in the association.

The system will first generate user account with username and password for each member. Password generated by the system may then be changed according to the users preference.

Post all information of the MUKRISVA and its members.

The system will provide a dynamic page that displays the pictures, mission, vision, objectives and goals of the association. Achievement, activities and history of the organization also posted.

User can access and post forums, FAQs and feedback. The system will accept comments, questions and suggestion from members and other concern individuals online.

A search facility and automatic archiving. The system will provide a module in which the user can search easily about the information of the association and the member. Archiving will be based on the preferred date and time of the administrator.

Chapter 4 PERFORMANCE ANALYSIS 4.1 Introduction The general objective of the study is to enhance the information dissemination of MUKRISVA. This will be a material for them to have effective promotion so that they can encourage individuals to become a member to the association and to enhance their communication in terms of inquiry. Thus, the researchers proposed the online loan

application and information system for Muslim Kristian Vendors Association (MUKRISVA). The researcher conducted research, communications, plan, analysis, error debugging, testing and some experiments to the problem to know whether the project is well done or not. The proposed system was designed to enhance the existing system of MUKRISVA with regard to information dissemination, inquiry and loan transaction. Thus, these experiments should be free from errors compared to the existing system. The research should be more accurate and better than the existing system.

4.2 Experimental

To build the online system for MUKRISVA and enable to pass the required output for the users of the system. The researcher did experiments to determine the functions according to the demands of the client of the MUKRISVA. First experimental method, the researcher conducted some interviews in order to acquire information that is needed in building the system. The researcher looked for an existing system, and the sample forms and reports. They then proceeded in finding out the solution logically and consult somebody if it is possible to include the crucial solutions in the system.

Second experimental method the researchers will give the solution in enhancing the existing system of disseminating information as the association module of marketing and process inquiry online. The researcher conducted testing processes in order to know whether it is ready to be implemented or not yet will then fix error according to the recommendation and evaluation of the system functionality.

The following are the Software Testing: Design Testing starts at the software design level. At this stage, test cases will be prepared which show expected output for an input. Subsystem Testing Testing is the next step in the testing process where modules are put together to form subsystems. Module Testing Testing is the process of testing the internal operation of all the subcomponents of a software system, referred to as modules or subroutines. Regression Testing Testing has been performed after any changes to the applications have been made. It will come at a stage when the systems have been delivered to the clients and a change is requested.

Using the widest coverage medium of the Internet, the proposed project will help promote the association to the public and to encourage the individuals to apply at MUKRISVA for lending. With this project proposal, the transaction is more convenient and easier to provide reliability.

Chapter 5 CONCLUSION The Muslim Kristian Vendor Association (MUKRISVA) of Cotabato City uses a manual system. Due to its current system, the organization encounter problem that make its task very slow, costly, time consuming, inconvenient and unorganized. They usually encountered problem specifically in adding, keeping, retrieving, updating and tracking of the documents. Since the modern technology is being introduced, the researcher proposed an Online Loan Application and Information System of MUKRISVA Cotabato City through web application. This will be a big help to the organization to reach out their mission and vision. This will improve the efficiency and organize document management. The accessibility of documents can be fast tracked at all times due to improve procedure in recording, retrieving and updating the status lending and records of the members. Thus, generating monthly and yearly reports of the accomplishment of the MUKRISVA is fast with less effort and cost to the office. In the proposed system, the stakeholder including the members of the MUKRISVA, employees, constituents and other concern groups and individuals will be

provided a forum for public interaction to accept and consider comments and suggestions before any changes be made in the association.
